Action 4.8 Communicate the Plan and Train People

Purpose

To ensure that everyone who is impacted by the change understands what is going on, who will be involved and what is required of them personally. 

DESIRED OUTCOME

  • Once this step is completed, everyone will know what they need to do to give the plan a fair chance of success.  We can then be sure that any results or changes in performance came about as a result of the plan, not from any other things that were going on in the workplace at the time. 

How to do it

At this stage it will be necessary to carry out any training that is required for people who will be asked to work differently as a result of implementing this plan. 

 

Coordination is critical at this stage to ensure that people receive the information, materials and on the job training at appropriate times so that the  change can be implemented at the agreed time and date.  

 

At this stage the team needs to be communicating the planned changes to everyone and helping people understand the problem or opportunity, the causes that were identified, the planned result and the proposed changes so that everyone can prepare for and be committed to the changes. 

 

Invite people to the storyboard to explain the steps and show how the information has been gathered, priorities set and potential solutions developed.  Discuss progress with all the people.  Be consistent with the organisation’s values.
